Irbis automated library system. Abstract Library and information system "Irbis Irbis system for libraries analytical description of magazines

Russia, Kirov Vyatka State University for the Humanities Scientific Library Head of the Department of Scientific Processing of Literature Maria Anatolyevna Vorobieva IRBIS as a means of creating an electronic library resource The goal of any library is to ensure the availability of information resources. Information technology greatly expands the activities of libraries. The automation of library and information technologies is accompanied by the creation of electronic information resources, the support and maintenance of which is possible only in automated modes. Automation makes fundamental changes in the composition, structure and functioning of the SBA. In the bibliographic field, automation usually begins with the formation of an electronic catalog based on the complete processing of new acquisitions of all types of non-periodic publications. The electronic catalog is a representative of the main information resource of the library. Having mastered the technology and possessing sufficient material and technical resources, libraries are gradually forming a complete EC as a retrospective bibliographic source. In the scientific library of VyatSGU EC of new acquisitions has been conducted since 1998. The program, in which the work on the creation of the electronic catalog was started, ceased to meet the needs of the library for a number of reasons. Therefore, it was decided to purchase a new AIBS. Requirements for the AIBS for the most comfortable and fruitful work: support for an arbitrary number of databases; technology of automatic formation of dictionaries, on the basis of which a quick search for any elements of description is realized; support for printing technologies. At present, the library of VyatSGU uses a version of the library automation system IRBIS. IRBIS is an integrated expandable library and information system. Supports UNIMARK, USMARK and Russian communication format. Reasons for choosing IRBIS: 1) it is a system of complex automation, covering all library technologies - acquisition, systematization, cataloging, reader search, lending and administration, based on the functioning of five types of automated workstations: "Picker", "Cataloguer", "Reader", "Loan", "Administrator"; 2) IRBIS has the ability to support the traditional (paper) model of document management in the library; 3) supports work in a local network, which makes it possible to expand the use of the system; the system allows you to create and maintain any number of databases that make up EC or are problem-oriented bibliographic databases. At the present time, the main AWPs "Komplektator", "Cataloguer", "Reader", "Administrator" have been implemented. One of the main information resources of the library is EC, therefore it was important to preserve the information that was available in the old system. By the time of the transition to the IRBIS system, the EC contained more than 25 thousand records. The programmers carried out the conversion of records from this database into IRBIS, a working group created from library specialists carried out the correction and editing of bibliographic records. At the same time, two departments of the library - the department of scientific processing and the reference-bibliographic and information department, directly related to the maintenance of EC, began to create a database of new acquisitions of books and analytical descriptions of articles from periodicals and books (at the moment, the EC contains more than 59 thousand records with taking into account converted knowledge base for books and articles from the old program). When creating a unified database for books and articles from periodicals and other types of documents, we were guided by the fact that our readers prefer to conduct a thematic search in catalogs and card indexes at the same time, and that there is a local network in the library that unites departments of acquisition, scientific processing of literature and reference-bibliographic and information department. The presence of all elements in the database allows the EC to combine the functions of all types of catalogs (alphabetical, systematic and subject) and card indexes (SCS, thematic, personal card index, etc.). AWS "Cataloguer" provides the most complete description of all types and types of documents - one-volume, multivolume, serial, periodicals, or articles from any of the listed types of documents. Detailed detailing of BO elements makes it possible, with their single introduction, to reuse them to obtain various output and display forms, search scenarios. When entering, a formally logical control of a part of the data is automatically carried out and a check for duplication of newly entered documents in the EC is carried out, which helps to avoid duplication of the bibliographic description for documents already in the library fund and add information about newly received copies to the previously created records. IRBIS contains such a convenient means of correcting input errors as dictionary correction, when simultaneously with correcting an erroneous search term, all EC documents associated with this term are corrected. Starting to work in IRBIS, we tried to study as fully as possible the capabilities of the system. Almost immediately, the question arose about the formation of authoritative files of subject headings, individual authors (for carrying out thematic search by persons), descriptors. The created Thesaurus is updated centrally (when new topics and queries appear). It was necessary to decide - which fields to fill in, which not, to formulate the designation of the document storage locations (room No. 1, room No. 2, D, etc.). In addition to entering new acquisitions into the EC, the old records are being re-entered, parts of such departments as local history, science, and fiction are introduced. Speaking about the accessibility of information resources, and in particular the accessibility of the EC for the user, it should be noted that the "Reader" AWS is presented to readers in the information resources room of our library. For readers to use the EC through the Internet, it was transferred to the website of our university. AWS "Reader" repeats databases AWS "Cataloguer" with a different access level and excluding the possibility of correcting elements of bibliographic records. "READER" provides two types of search. Search "for dummies" (the mode implements a simplified search aimed at an unprepared user, provides the ability to search for words from the entire bibliographic description of the document); search "for clever people" (the mode includes special types of search, which are based on the use of such information and linguistic resources as Authority files, Thesaurus, and allows you to use the search logic "and -" or ", which significantly reduces the level of information noise ). In addition to the opportunity to independently work with the EC of our library, readers can contact the reference-bibliographic and information department with information requests. Bibliographers search in the "Cataloguer" AWS and print the search results. On the "SEARCH" plane, it is possible to enter and use permanent queries with the aim of using them in the future. During the transition period (with the introduction of information technology), catalogs are maintained in parallel. This is due to the need for detailed mastering of electronic technology and the lack of automated workstations for readers. A complete refusal in such conditions from card catalogs means the creation of additional queues and a sharp deterioration in the quality of service. An essential point is the comprehension of the fact that, while maintaining the basic ideology, automated technology can differ significantly from the traditional one. A striking example is "paperless technology", that is, such a technology in which there are no traditional index cards and many other output forms. However, it is clear that not every library will be able to quickly abandon index cards and traditional card indexes, which means that the functions of the system should include the ability to print the entire existing set of catalog cards. IRBIS supports traditional paper technologies, providing opportunities for obtaining a wide range of output forms: from order sheets and summary books to indexes and all types of catalog cards. For the users of the automated workstation "Cataloguer", a technology has been developed for obtaining catalog cards and forms for books and magazines in batch mode. To set the print parameters, a special form is used, which appears after pressing the PRINT button. We are currently creating an electronic record for new arrivals. And from it we make a printed card for catalogs (alphabetical general, alphabetical reader and systematic). AWS "Cataloguer" provides two main types of printing based on search results: LISTS (simple roll-to-roll printing) and TABLES (complex printing, ensuring the receipt of original layouts of pointers and tabular forms), which gives real prerequisites for creating your own unique information products. Our library traditionally publishes the Index of the Works of VyatSUHU teachers, in 2006 its release will be carried out with the help of IRBIS - using the search by the "Author-employee" field, which is filled in when describing books and articles of teachers. The bulletin of new acquisitions, published quarterly in our library since 2002, is now created in the IRBIS system, while using a complex search by subject headings and date of entry. These publications are created on the basis of the EC database. In addition, in the IRBIS system this year the SBIO creates thematic bibliographic indexes (on ecology and life safety). It is planned to release them in electronic form with links to full-text databases. At present, in terms of information and technical support, IRBIS is one of the most dynamically developing library systems in Russia. IRBIS supports new technologies for creating full-text repositories of knowledge based on the EC library, for this the field "Link to an external object - text" on the "Technology" page is taken as a basis. One of the main characteristics of the IRBIS program is the ability to create an arbitrary number of databases. Using this opportunity, in addition to the main EC database, other databases are created in our library. DB for rare books. Work has begun in the rare book sector to create a separate database for the rare book fund of the VyatSGU scientific library. On the book description worksheet, the "Rare Books" page is highlighted, which makes it possible to describe old printed books and their features. For example, the following description elements are highlighted here: notes of the collection owner, autographs, document safety, bookplates, author's notes, etc. The base of author's abstracts is being created. One of the important functions of the AIBS in educational institutions is the ability to carry out a multidimensional analysis of the provision of the educational process with literature and promptly inform the departments about the availability of books in certain disciplines, and form the necessary reporting documents. To solve this problem, IRBIS has developed a "Book supply" subsystem in the "Cataloguer" AWS. The multiple purposes of textbooks for students of different faculties (main, additional, methodical), semesters, specialties, as well as the possible use of the same textbook for different disciplines are taken into account. Since the same discipline can be read at different faculties, the concept of a unique discipline number is introduced, this number is determined by a set of related data "discipline - faculty - direction - specialty - type of training - form of training". The use of the Book supply subsystem is especially important on the eve of university certification. Work is planned on maintaining and using the book supply base. The original solution is the technology of processing periodicals; it is planned to create a database "Card index of periodicals". A record is entered into the database containing the BO of the publication and information about the receipts of its issues for different years. When registering newly received copies, information about the receipt is automatically cumulated, and information about the articles of issue can also be entered. The transition to the new IRBIS system was quite comfortable, mastering the input technology, we created technological instructions for different work processes. Among other things, the program provides context-sensitive help for INSTRUCTIONS (the ability to call up help information during the data entry process - a fragment of the instruction appears on the screen related to the entered data element). The development of the IRBIS system is associated with the constant improvement of service facilities. IRBIS fully justifies its name - an integrated expandable library and information system. In fact, it can successfully automate all the traditional technologies of a special scientific library, and the presence of a significant number of auxiliary reference books, the ability to check for duplicate information entered, detailed instructions for the user allow librarians to successfully master the initial skills of creating electronic records for catalogs. 2

IRBIS is a modern library automation system designed for use in libraries of any type and profile. Allows you to describe all types of publications. The system interfaces are as close as possible to the user's needs and are easy to learn. AWS "Cataloguer" is an automated workstation for a librarian who performs the functions of creating and maintaining databases.

This practical guide is intended for the organization of work in the AWS “Cataloguer” of the IRBIS 64 library automation system.

The aim of the manual is to familiarize you with the basic principles of creating an analytical bibliographic record in the "Cataloguer" module.

The manual is designed for specialists who are just starting to work in this program, librarians, bibliographers already working in the automated workstation "Cataloguer" of the "IRBIS 64" library automation system.

Registration of periodicals in the Irbis-64 program

1. Before creating an analytical bibliographic record, it is necessary to register a periodical. To do this, select the "Newspapers and Magazines" database. (We register only if the publication is new and has not been previously registered)

2. Then select the worksheet "OQ51 Journal Description and Enter First Admission Information".

3. Then on the left, open the dictionary and select the item "Title - magazines".

4
.
Open "Parameter Settings" , the "Personal Settings" window appears. In the column "Stage of work", press the button

And choose RJ - registration of magazines. Click "Apply".

5. In the dictionary, in the "Key" field, enter the title of the journal, for example: "Technology for youth".

We draw your attention to the mandatory check of the periodical!

We check the registration of the previous issue of the periodical in the window
, press the button "numbers", and a window with the registered numbers opens, then making sure that the journal is not registered, press the button "cancel" and begin registration.

7. In the window, press the button "registration", a window opens and in the field "936: Number, part" enter the number of the journal.

8. Then in the field "910: Information about instances" press the button, the window "Element: 910: Information about instances" appears. We put the status “0”, in the field “No.” we put it in the field “Date” - hold down the alt button and press the letter D on the keyboard. In the "Storage location" field, indicate where the copy is stored. Press enter and the button "Save"! We check the bibliographic record and other elements of the description.

Creation of analytical

bibliographic record

1. Open AWS “Cataloguer”. Select the database (database) in which records will be saved.

2. Then select RL (worksheet) ASP42 - Analytical description of the article (full), format - optimized.

3. The page "Duplicate" is intended for checking the newly entered document for duplication. Therefore, if you need to enter another record in place of the detected doublet, you need:

    delete or change the data value in the field on which the cursor is positioned (in this case, of course, the duplicate message is removed);

    "Empty" the document;

enter new data. After checking for duplication, on the same page, fill in the following fields:

P
ole is intended for entering information about the author, if the article was written by one author. For articles written by two or three authors, in field 700 the first of these authors is given. Information about the second and third authors is reflected in field 701.

In the underground700 we press the button, after which a window opens.

5. In the window that opens, fill in the Last Name, Initials, Initials Expansion, Additions to names, except for dates (titles, epithets, positions), etc.

6. Field 200: Title

This field is required. Enter the main title of the article. The main title is reproduced in its entirety as given in the publication. We fill in the subfield "Information related to the title" - this is information that explains the content of the article.

If from the title of the article it is not clear what the article is about, we formulate the content of the article ourselves and put it in square brackets.

For example: [About bibliographic search methodology]

First information about responsibility - the subfield is filled in automatically from the field 700 and 701.

Since we originally registered the publication, all the necessary information about the magazine or newspaper is transferred automatically.

In this field we enter only pages, on which the article is printed, we enter without the letter "c". A hyphen is inserted between the numbers in the page designation, there are no spaces.

The digital designation of the magazine is given in Arabic numerals.

Main BO page

There is a small button at the end of the field
, when you click, a window appears where the required fields are filled. A unit opposite a field means that the field is repeated as needed.

Technology page

We fill in fields 907 - Cataloguer, date and 902 - Document holder. IN 907 field the dates of the stage-by-stage processing of the document and the full name of the contractor are indicated. These data are an important element in the accounting of the work of cataloguers, both in terms of assessing the quantity and quality of work performed.

On the Technology page in Field 905 - Setting. QC circulation ... you can specify how many main and / or additional QCs (circulation) need to be generated when batch printing QCs. Specified as two numbers separated by "/" (no spaces). For example, 6/2 (a batch of no more than 10 basic CCs and no more than 5 additional ones can be processed).

Systematization page

We consistently fill in the fields we need.

This field is required. It is repeated if necessary. Only one LBC index is entered in one field. LBC indices, separated by the "+" sign, are written into the newly created fields by pressing 1.

Field 606 - Subject Heading

This field is required. It is repeated if necessary. Geographic, chronological, thematic subheadings can optionally be added.

Field 610 - Keywords

This field is strictly required. Repeat for each keyword field 610. Key words are formed by the bibliographer independently. Used to expand search capabilities.

Field 600 - Name of the person as subject heading (Personnel)

The field is repeated. This field is required. The field contains information about persons when they are the object of consideration in the article. Initials are entered in field 600а separated by commas and a space after the last name. If there are several personalities, then a new one is added to enter information about each person field 600.

Field 331 - Annotation

An annotation on the article is entered in the field.

After completing the formation of the record in the right corner, you will see a catalog card. It is necessary to check the correct sequence of the elements of the bibliographic description. Edit if necessary. Save the entry by clicking on the "Save" icon in the upper left corner
.

QC Print Mode

When you finish working with a document, you can print all kinds of index cards (in the required number of copies). • Experience with AIBS

Library AUTOMATION means the introduction of computer hardware and software and its development in library technology and library practice. More broadly, the automation of the library implies the transfer of all processes to computer technologies that allow the library staff to gradually release from routine operations, manual forms of work, outdated technology, as well as create an effective and comfortable service for readers that ensures the search and retrieval of information and publications from the library funds. The key element of library automation, which makes it possible to transfer traditional library technologies to an automated platform, is a special software called an automated information and library system (AIBS). Such a system makes it possible to improve the quality of service for readers, ensure the creation of an electronic catalog, automated issuance of books, effective management of the library fund, and a reduction in routine manual work. AIBS is built on a modular basis. Each of its modules is an automated workstation (AWS) and provides automation of a certain number of processes of library activities. As a rule, AWPs perform the following functions: Picker, Cataloguer, Reader, Book Distribution, Administrator. AWPs of all types are interconnected and represent a single integrated library system. Thus, today the AIBS is being implemented in all library processes that the user (reader) of the library encounters (registration, search in the catalog, lending, use of electronic resources), and in internal library processes, in which library staff take part (collection of collections, processing editions, creation of thematic indexes, painting collections and periodicals).

Our non-state school "European Gymnasium" in 1999 acquired for its school library the library automation system IRBIS (integrated information and library system), developed by the State Public Scientific and Technical Library of Russia. In the choice of this AIBS for the European gymnasium, the following was decisive: 1) the system was developed by the library itself, which allows avoiding significant drawbacks and inconveniences inherent in AIBS, created by developers who have no direct relation to librarianship; 2) the ability to constantly update the AIBS due to the regular appearance of more advanced versions; 3) implementation of SPSL strong technical support, including through the Internet; 4) the possibility of functioning of the AIBS in the local computer network and on the Internet.

AIBS IRBIS is designed to automate traditional information and library technologies and is a set of interconnected AWPs of five types.

Workstation "Komplektator" is a workstation of a librarian who performs the functions of acquiring and accounting for library funds based on maintaining a special database. Under the conditions of a local computer network, the system ensures the functioning of an arbitrary number of "Complementary" workstations with the possibility of simultaneous replenishment (correction) of one database.

AWS "Cataloguer" is a workstation of a librarian who performs all the functions of forming (replenishing and updating) the databases of the electronic catalog. In the conditions of a local computer network, the system provides the functioning of an arbitrary number of AWS "Cataloguer" with the possibility of simultaneous replenishment (correction) of one database.

AWS "Reader" is a workstation of an end user of an electronic catalog (library reader) and is intended for a comprehensive search in an electronic catalog, viewing (printing) the information found and forming an order for issuing literature. In the conditions of a local computer network, the system provides the ability to simultaneously search the same databases of the electronic catalog for an arbitrary number of users (readers).

AWS "Book lending" is a workstation of a librarian who performs the functions of issuing literature in accordance with the generated orders and its return. Under the conditions of a local computer network, the system provides work with a queue of generated orders for issuance in real time, i.e. orders formed on the Reader AWS are automatically sent to the Book Distribution AWS.

Workstation "Administrator" is a workstation of a specialist performing system operations on databases in general, aimed at keeping them up to date.

The information basis of the system is made up of six databases.

Database picking contains preliminary (short) bibliographic descriptions of literature planned for purchase, as well as special order and subscription data.

Database electronic catalog contains bibliographic and technological (special) description of literature on the library collection.

Database readers contains the details of registered readers and information about the issuance (return) of literature.

Database orders contains a queue of current orders for the issuance of literature.

Systemic the database contains system data and the main thematic classifier.

Database alphanumeric index for UDC / BBK.

As already noted, the IRBIS system has been functioning in the school library of the European gymnasium for about nine years. It can be noted with satisfaction that at the same time, the European gymnasium did NOT face two serious problems, the presence of which, unfortunately, significantly complicates the use of AIBS in many Russian schools: 1) extremely insufficient computerization of schools in general, and especially school libraries; 2) the professional, psychological preparedness of teachers and school librarians is very weak for the use of computer technology.

The European gymnasium is very well equipped with computers. In both buildings (it should be noted that the specifics of the European gymnasium include the presence of two buildings since 2001 - an elementary school and a secondary school), each teacher has his own personal computer in his office. Computer classes are equipped with a significant number of computers designed for pupils to study. All administrative services of the gymnasium are also computerized. The local computer network is functioning. In this regard, all teachers and employees, without exception, are able to successfully apply information technologies in their work. This also applies to librarians. Especially for the effective use of AIBS in the school library, librarians were trained under the Computer Technologies program (in the amount of 72 hours at short-term advanced training courses at one of the state technical universities in Moscow). Both premises of the school library (both in primary and secondary schools) are equipped with the necessary number of computers and office equipment. The high school library has three computers, a printer, a scanner, and a copier. Two of these three computers are for librarians. With the help of one of them, located in the fund depository, as a rule, cataloging is carried out. With the help of another, located in the reading room, book distribution is mainly carried out. The third computer is for library users. With its help, they can use the "Reader" AWS, view documents on non-traditional media, search for information in the local computer network and the Internet. The primary school library is equipped with a computer and a photocopier. Installation and subsequent use of IRBIS in the European gymnasium was carried out in close cooperation of librarians with system administrators and teachers of informatics, which significantly reduced the difficulties when working with AIBS.

The first stage in the development of the automation process in the library using AIBS is the creation of an electronic catalog. The creation of an electronic catalog means: 1) cataloging new acquisitions; 2) retrospective conversion of already existing card catalogs into a machine-readable (electronic) form. In the first years of the existence of the European Gymnasium, with insufficient library space and the absence of a full-time librarian position, card catalogs were not compiled at all. Therefore, there was no retrospective conversion, and the electronic catalog became the first catalog of the school library. By the beginning of work on the creation of an electronic catalog, the library fund totaled over 12 thousand copies. In connection with such a significant volume, it was decided to transfer the existing collection gradually, over a significant period of time, and to carry out electronic cataloging of new acquisitions to the library immediately. In total, due to the heavy workload of librarians, the cataloging of the existing collection took six whole years - from 1999 to 2005. During this time, a total of more than 16 thousand titles and more than 28 thousand copies of documents were entered into the electronic catalog. Today, the unified electronic catalog of the European Gymnasium library contains more than 20 thousand titles and more than 35 thousand copies of documents (including those written off). Without exception, all documents of the fund, regardless of their type, type and physical medium (books, periodicals, audio and video cassettes, electronic disks, filmstrips, transparencies), are included in the electronic catalog and have their own unique identification signs.

As already noted, in AIBS IRBIS cataloging is carried out with the help of AWS “Cataloguer”. After the division in 2001 of the library of the European gymnasium into two buildings (secondary and primary schools) and due to the fact that the acquisition and accounting of the collection of the entire library is carried out centrally by the librarians of the secondary school, electronic cataloging of new acquisitions was carried out only in secondary school, and cataloging already available documents - both in secondary and primary schools. After complete completion of cataloging, entry into the electronic catalog of subsequent entries is carried out only in the library of the secondary school.

Electronic catalog, i.e. a computer-readable library catalog, working in real time and made available to readers, is devoid of a number of significant drawbacks inherent in traditional library catalogs. Card catalogs take up significant space in the library, which is particularly detrimental to school libraries that are usually very small. The electronic catalog, so to speak, does not exceed the size of the computer system unit. Filling out traditional index cards is very time consuming, especially with massive new arrivals. Entering data into an electronic catalog can be extremely fast. If it is necessary to change the information in the catalog card, it is necessary to withdraw it and fill in a new one. To fix an electronic catalog entry, just a few keystrokes are enough. And most importantly, the electronic catalog makes it possible to combine in one a number of traditional catalogs, allows you to search simultaneously by a significant number of parameters, thereby significantly facilitating and speeding up the work of the library staff and service to its readers. So, the electronic catalog of AIBS IRBIS combines the following traditional library catalogs: author's, titles, systematic, subject, thematic, numbering, chronological, publishing, linguistic, geographical, periodicals. The electronic catalog also includes card indexes: articles, new acquisitions, personalities, works of employees of the European gymnasium. The electronic catalog allows you to enter and search for documents by a wide range of parameters.

By the names of authors, editors, compilers etc. Moreover, the number of surnames related to one document can be unlimited, i.e. you can search, for example, by the fifth author. In addition, when searching for documents in a foreign language, surnames (and initials) can be indicated in both foreign and Russian languages, for example, Stevenson R.L. and Stevenson R.L.

By the name of the team / event.

By title. Moreover, this refers to the titles of both books (audio tapes, videodiscs), and individual works (articles, sound recordings, films) included in them. Parallel titles may be entered in different languages, such as "Treasure Island" and "Treasure Island".

By the title of magazines and newspapers.

By the title of the series.

By keywords. The ability to search for ten words contained in the title. This is important if the librarian or user does not know the exact title of the document. For example, to search for the tale "The Golden Key, or the Adventures of Buratino", it is enough to enter only "Buratino".

By type / type of documents.Allows you to find out how many books are in the library: books in general, one-volume, multivolume, issues of magazines and newspapers in general, individual articles from magazines and newspapers, sound recordings, video documents, electronic documents.

By the nature of the document.Allows you to determine: the number of textbooks, workbooks, teaching materials, fiction, educational literature, cartographic materials, etc.

By intended purpose. Indicates the age of the person for whom this document is intended. For example: preschool children, youths, adults.

By physical media. This refers to an information carrier on a non-print basis: audio cassette, video cassette, electronic cassette, filmstrip, slide, CD, DVD.

    By the publishing organization.

By country of publication. The library of the European Gymnasium contains documents published in more than 40 countries around the world.

By language. This function is extremely relevant for the European gymnasium. In addition to documents in Russian, the library has 2846 titles of documents in English, 423 in French, 409 in German, 59 in Spanish and 43 more in fourteen other languages.

    By year of publication.

By magazines and newspapers for a certain year. Allows you to determine the number of periodicals for a specific year.

According to UDC / LBC / other classification. In order for the user to immediately be able to determine the belonging of a particular document to the collection of educational literature, in the heading "other classification" the index "Uch" is specially highlighted. For example, Uch-textbook, Uch-rt - workbook, Uch-dm - didactic material, Uch-x - educational reader.

    By personalities.

    By ISBN / ISSN.

By the code of the document. After entering a new record into the electronic catalog, IRBIS automatically encrypts it. The cipher includes UDC / LBC / other classification, the author's sign of a two-digit author's table and a six-digit unique number.

    By date of entry.

At the place of storage of the copy. This function is extremely important due to the presence of two buildings in the European Gymnasium, as it allows you to determine in which library (secondary or primary school) the document is stored.

By batch of books / inventory number of the book. The number of the entry in the summary ledger, as well as in the inventory ledger, is determined.

By individual barcodes.Allows you to accurately identify each copy of the document when entered into the electronic catalog and upon further issuance to the user. Barcodes are made by the librarians of the European Gymnasium on their own using a special printer. All three library service computers are equipped with barcode scanners. The barcodes of the funds of educational and non-educational literature are somewhat different from each other to facilitate statistical calculations.

By individual barcodes of written off documents.

It should be especially noted that the local computer networks of both buildings of the European Gymnasium through the Internet have been connected to each other since 2006, in fact, into a single network. This allows, for example, when a new entry is entered into an electronic catalog at a secondary school, information about this operation is immediately transmitted in real time to the office computer of the primary school library. It should also be said that some of the documents most demanded by users, mainly related to project activities and intra- and interschool conferences, are placed in electronic form on the gymnasium server. Information about these documents is reflected in the electronic catalog and the path of their search in the local computer network is indicated.

It is also important to dwell on the capabilities of AIBS IRBIS for combining different search terms in a query. For this, the "Logic" switch is used to indicate the logical operators that combine search terms, which determines the presence of the specified search terms in the searched documents. There are three types of logical operators:

"Or" - defines the requirement for the presence of at least one of the search terms in the searched documents. For example, the search terms "French" and "CD" are combined in a query. There are 423 titles of documents in French in the library, and 384 on CD. When using the logical operator "Or" the result will be 779: 423 + 384–28 (excluding the number of CDs in French).

    * "And" - defines the requirement for the presence of all specified search terms in the searched documents. For example, "French" and "CD" are again combined. The result will be 28 - the number of CDs in French (excluding the number of non-French CDs).

"No" - defines the requirement for the presence of the first and the absence of all other search terms. For example, if you combine the terms "French" and "CD", the result will be 395, i.e. 423-28 (excluding French CDs).

The number of search terms when using the "Logic" switch is unlimited.

It is also important to use the "Truncate" switch to expand search results. It serves to indicate the fact of the right truncation or non-truncation of search terms, which determines how the terms are compared with the corresponding elements of documents.

If no truncation is applied, the "No" indicator is turned on, the comparison gives a positive result if the search term completely matches the corresponding element of the document. For example, the search term "automaton" will only match the document element "automaton".

If truncation is applied, the "Yes" indicator is turned on, the comparison gives a positive result if the search term coincides with the beginning of the corresponding element of the document. For example, the search term "automaton" will match the document terms "automation", "automatic", etc.

If the “Cataloguer” AWS is intended exclusively for official use by the library staff, then the “Reader” AWS can be used by all registered readers of the school library, i.e. all students, teachers and staff of the European Gymnasium without exception. AWS "Reader" provides the ability to: 1) search for documents in an electronic catalog using a wide range of search tools, designed for both beginners and trained users; 2) electronic, i.e. paperless, formation of an order for the issuance of literature. You can search for documents and place an order from any computer in both buildings of the European Gymnasium. For students, working with an electronic catalog is very important, since it is this that gives children an immediate opportunity to independently search for the literature they need. At first, the child uses the electronic library catalog only as a simple "search engine". However, over time, students begin to understand that the AIBS allows not only searching for information, but also independently developing its strategy and algorithms (from the question “What exactly should I look for on a topic of interest to me?” To “How to use the information I received correctly?”). The ability not only to search for information, but also to carry out its synthesis, analysis and processing certainly contributes to an increase in the information culture of students. In a narrower sense, the child's thoughtful and creative use of the electronic catalog leads him to the ability to independently use the reference and retrieval apparatus of the library and to carry out reference and bibliographic services in the "question-answer" mode. Librarians encourage students to work with the electronic catalog as much as possible, and promote it in every possible way. Every year, practical classes on the study and use of the electronic catalog are held with each class, and theoretical classes are held with the eighth grade in computer science lessons as part of the study of databases.

    Issuance / refund information form

AWS "Book Distribution" allows you to completely abandon paper reader forms. When a new reader is registered in the library, an electronic form is entered into it. Information similar to those entered in the traditional reader's form is entered there. The difference is in the unique identification electronic number of the reader. Using this number, the library produces a library card with a barcode. This barcode allows you to instantly identify the reader.

Thanks to the fact that the user through the local computer network can make a preliminary order in electronic form, the library's work becomes much more efficient. Pre-orders allow the librarian to find the required documents in advance and prepare them for loan. The pre-order system also helps to avoid crowding of readers in the library. Pre-orders are especially convenient when receiving literature in another building. For example, an elementary school teacher can make an electronic order for teaching materials that are in the fund of a secondary school, and then, having received (again in electronic form) confirmation of the order, come for it.

The issuance and delivery of literature is significantly accelerated by the availability of barcodes. When scanning a barcode, information about the document is immediately entered into the electronic form of the reader and the document becomes issued. This is very convenient when issuing and delivering a significant amount of literature by one, and even more so by several readers. In addition, the barcode allows you to clearly and unambiguously determine the "belonging" of a particular document to a particular reader. The electronic form of the reader is extremely vivid and clearly demonstrates to the librarian the titles of the books issued, the date of issue, the terms of the expected return, as well as information about the reader's debts. In addition, the "Book Distribution" AWS allows you to instantly find out who exactly the issued copy of the document belongs to, which is completely impossible with traditional paper forms. It is also very important that the reader can independently view his electronic form and, thus, be aware of his debts. The library of the European Gymnasium generally does not accept questions from students about what debts they have or whether the student owns a book he has. The student should be able to answer such questions himself.

The use of AIBS in school libraries, of course, should be developed in the direction of expanding their further capabilities and increasing the efficiency of existing capabilities. Undoubtedly, in the near future, a complete transition to automated acquisition of school libraries and electronic records of funds is desirable. The placement of electronic documents in local computer networks of schools should continue. The necessary development will be given to the system of remote access to electronic resources of school libraries via the Internet - so that each student from his home computer can contact the school's AIBS and get acquainted with the content of the document of interest. And, I think, AIBS of school libraries should be united into common computer networks to create consolidated electronic catalogs and shared access to information resources. The time of the global informatization of the educational process is not far off, and school libraries should not passively wait for its onset, but keep pace with it. This is their main task.

Library automation system IRBIS: overview of corporate interaction tools

The means that provide corporate interaction that exist today in the IRBIS system are presented.

Key words: Library automation system IRBIS, library technologies, automation, corporate interaction, communication formats, borrowing technologies, consolidated electronic catalogs, distributed catalogs.

IRBIS is a family of software products designed to automate library technologies. Among these products, we distinguish basic and additional ones. The main ones are, first of all, three generations of the Library Automation System - IRBIS32, IRBIS64 and IRBIS128. focused on the automation of traditional technologies associated with the creation and maintenance of electronic catalogs of libraries.

IRBIS32 is addressed to small libraries, IRBIS64 - to medium and large, and IRBIS 128 is designed to create corporate systems, that is, such associations, in which groups of libraries or departments and branches of one library participate.

The main products also include IRBIS64-Full-text databases - a system designed to create not bibliographic databases (such as electronic catalogs), but full-text ones. This product can be seen as a tool for creating an electronic library.

Additional products of the IRBIS family include software solutions, which are a specialized "add-on" to the main products. This is, for example, IRBIS-Image-catalog. designed for the retroconversion of large card catalogs, i.e. for creating EC based on scanned images of catalog cards and their texts, which are automatically recognized.

Databases of library classification systems (LBC, UDC, GRNTI) on CDs are also offered as additional products of IRBIS.

The IRBIS system is standard, universal, and is designed for use in any libraries, regardless of their scale and profile. Among hundreds of IRBIS users (more than 3 thousand - national libraries, federal, regional, district, city CLS, intersettlement and settlement), there are universal and specialized (medical, pedagogical, for the visually impaired, children's, spiritual, etc.) in terms of acquisition. Libraries of universities, schools and other educational institutions constitute a significant part of IRBIS users.

With all its versatility, the IRBIS system also offers solutions focused on specific types of libraries: for example, solving the problem of book availability for university libraries.

You can talk a lot about individual modules of the system, their characteristics and functional capabilities, but in the context of the topic under consideration, one should dwell only on those capabilities of IRBIS that are associated with its ability to integrate into corporate systems and technologies, that is, allow interaction with other library systems and resources.

IRBIS corporate capabilities are based on two main characteristics - these are:

    support for communicative formats, including RUSMARC based on two-way data conversion;

support for web technology and Z39.50 protocol.

Let's reveal in a little more detail specific corporate capabilities of IRBIS.

The simplest of these is file exchange of bibliographic data in a communicative format. This is an elementary feature, and it makes no sense to talk about it in detail - it should only be noted that in addition to export / import modes in the RUSMARC format, IRBIS has the ability to load and unload bibliographic data in UNIMARC and MARC21 formats. It also provides the ability to import data from specific library systems, such as Library 2 and МАРК (those versions of these systems where uploading in the RUSMARC format was not implemented).

The most important corporate technology in IRBIS, first of all from the point of view of everyday library work, is the borrowing technology: it allows - directly in the process of cataloging - borrowing of ready-made bibliographic descriptions from external Internet resources.

The IRBIS system offers various borrowing technologies: first of all - borrowing from electronic catalogs available under the Z39.50 protocol (these are catalogs of all the largest libraries in Russia and the world); the mode of borrowing from the IRBIS corporation opens up wide opportunities (this is a virtual unification into a single information resource of electronic catalogs of all libraries operating on the IRBIS system and do not object to such a merger) and, finally, this is the opportunity to borrow from LIBNET resources (contractual relations are assumed with this organization ).

In the IRBIS system, the reverse borrowing technology is implemented - this is an online transfer of ready-made bibliographic descriptions to external corporate resources, they can be databases accessible through the IRBIS web gateway or via the Z39.50 protocol. In particular, consolidated catalogs can be maintained on the basis of this technology.

The corporate capabilities of IRBIS include the ability to work in the local modules of the system ("Cataloguer", "Komplektator", etc.) with "foreign" databases. By "alien" we mean databases located on the servers of other libraries using the IRBIS system: a cataloguer in a particular library can work with databases of other libraries in the same way as with their own.

The IRBIS system offers tools for creating consolidated and distributed catalogs, which are the essence of many corporate systems. It was the capabilities of IRBIS that were used to create a prototype of the consolidated catalog of university libraries under the project “Development of an information system for access to electronic catalogs of libraries in the field of education and science within a single Internet resource”.

The possibilities of building distributed catalogs are implemented, in particular, when creating an IRBIS corporation. The same scheme can be used to build distributed catalogs that unite any groups of libraries working on the IRBIS system. The presence of a Z-server, providing access to the IRBIS database via the Z39.50 protocol, allows the IRBIS user libraries to participate in the creation of distributed catalogs in a heterogeneous environment, i.e., in the unions of libraries that use various automation systems. An example of such an association is the Moscow Public Libraries Corporation, among which, in addition to IRBIS users, there are libraries that use LIBER and mapk-sql.

Completely new opportunities for corporate interaction open up in the latest generation of IRBIS - IRBIS128, which, as already mentioned, is focused primarily on corporate technologies. In addition to building consolidated and distributed electronic catalogs, IRBIS 128 provides such an interesting opportunity as combining various databases - both "Irbis" and any others available via the Z39.50 protocol, at a logical level, when "on the fly" not only the actual data, but indexes, and at the same time a single information resource is created for both search and data entry. That is, an end user, for example, a cataloguer performing data entry, can work with a database, which in fact is the result of adding its own IRBIS database and several databases of other libraries available via the Z39.50 protocol. In IRBIS128 there are possibilities for writing providers for databases, accessible by other protocols.

Speaking about corporate capabilities of IRBIS, one should also mention the recently implemented capability, which provides support for access to the IRBIS database through the portals of state services.

These are, in short, the means for ensuring corporate interaction that exist today in the IRBIS system.
